How to Renew Your ATPL in India 2026 : Complete eGCA Step-by-Step Guide

Updated: Apr 15

Your ATPL is the highest pilot license issued by DGCA India. Keeping it current is non-negotiable for command privileges. This guide covers every step of the ATPL renewal process through the eGCA portal, including documents, IR revalidation, the 2026 Auto-Profile Update system, and how Wingman Pilot Logbook generates your CA-39 and uploads your logbook data to eGCA automatically.

What Is ATPL Renewal?

An Airline Transport Pilot License (ATPL) is the most senior flight crew license issued by the Directorate General of Civil Aviation (DGCA) under the Aircraft Rules, 1937. It authorises the holder to act as Pilot-in-Command (PIC) on multi-crew commercial aircraft.

Like the CPL, the ATPL is not a permanent document. It must be renewed at prescribed intervals, along with the Instrument Rating (IR) and other associated ratings. Flying as PIC on a scheduled commercial operation with an expired or lapsed ATPL constitutes a serious regulatory violation.

ATPL renewal in India involves:

  • Renewal of the ATPL (via the eGCA portal)

  • Revalidation of the Instrument Rating (IR) on the ATPL

  • Maintenance of a valid DGCA Class 1 Medical Certificate

  • Currency of your FRTOL / RTR(A) and ELP

ATPL Validity and Renewal Timeline

The DGCA ATPL is valid for 5 years from the date of issue or last renewal. The Instrument Rating (IR) carries a shorter validity and must be revalidated separately. Your Class 1 Medical is valid for 1 year (under 40) or 6 months (40 and above).

Important: Always cross-reference with the current DGCA CARs, circulars, and the eGCA portal for the latest validity periods applicable to your license. Requirements are subject to update.

The DGCA Auto-Profile Update System (From February 2026)

As of 2nd February 2026, DGCA has introduced the Auto-Profile Update system within the eGCA portal. This system is designed to automatically flag a pilot as ATPL-eligible once the eGCA system detects the required hours and qualifying exam results in the pilot's profile.

What this means for ATPL holders: The automation works both ways. An ATPL profile that has accurate, complete, and up-to-date eGCA logbook data benefits from faster processing. An ATPL profile with logbook discrepancies or stale data can be frozen in "Pending" status.

Common causes of Auto-Profile Update failures:

  • Discrepancy between Block Time and Flight Time in the eGCA logbook (if your airline logs one way and your eGCA entry shows another, the system flags a mismatch)

  • Expired Class 1 Medical (the system temporarily freezes ATPL eligibility status until renewal is uploaded)

  • Expired RTR(A) or FRTOL (the ATPL system cross-checks all sub-rating validity)

  • Exam results outside their validity window (Air Navigation, Meteorology, and Radio Aids results typically valid for 5 years)

Bottom line for 2026: Accurate digital logbooks are no longer just good practice. They are operationally critical. A logbook mismatch does not just slow your renewal; it can delay a command upgrade at a time when Indian airlines are fast-tracking captaincy programmes.

Step-by-Step: ATPL Renewal on the eGCA Portal

Step 1: Log In to the eGCA Portal

Access the official DGCA eGCA portal at:

Click eGCA Login and enter your eGCA ID and password. The portal uses MFA (Multi-Factor Authentication) since July 2025. Enter both OTPs (mobile and email) to authenticate.

eGCA Portal: https://www.dgca.gov.in/digigov-portal/
eGCA Direct Login: https://www.dgca.gov.in/digigov-portal/jsp/dgca/homePage/egcaLoginIndex.jsp

Step 2: Navigate to License Details

From your Pilot Profile Dashboard, select:

License Details > ATPL > Apply for Renewal

Your current ATPL record is displayed with all aircraft endorsements, IR details, ELP status, FRTOL records, and validity dates.

ATPL holders: note this. If you hold an ATPL, you do not need to update CPL or FRTOL-R details separately. As stated in the eGCA user manual, pilots holding a higher category license are not required to fill in details of licenses deposited to DGCA. ATPL holders need not update CPL details.

Step 3: Review and Update Your ATPL License Record

Before you can submit for renewal, all license details must be accurate and complete. Review the following carefully:

Aircraft Endorsement and Rating Details

For each aircraft type endorsed on your ATPL:

  • Confirm Endorsement Date is correct

  • Confirm Initial IR Issuance Date and Latest Renewal Date of IR

  • Confirm Latest Validity of IR

  • Aircraft class is auto-populated by the system for listed types

Instrument Rating Details

  • If you have completed an IR revalidation since your last eGCA update, enter the Latest Renewal Date now

  • Do not click Submit for Validation until all aircraft endorsements and IR details are complete and correct

From the eGCA user manual: Save and Update Details is not the same as Submit for Validation. Click Save and Update Details to preserve your changes. Only click Submit for Validation when all records are finalised.

Step 4: Update ELP Details (if Due)

If your English Language Proficiency (ELP) endorsement is due for renewal, update this in the ELP section before submission. ELP does not need to be updated if it has not been endorsed on your license by DGCA.

Step 5: Upload Documents

Within the License Records section, click Upload Documents and attach:

  • Full ATPL copy (all pages; photocopies of the front page alone are not accepted)

  • GFT / IR proficiency check report

  • Class 1 Medical Certificate

  • FRTOL / RTR(A) certificate

  • CA-39 experience report

  • Any applicable AFIR, FIR, or Open Rating documents

Step 6: Save and Submit for Validation

Click Save and Update Details to confirm all changes. Once satisfied that every section is complete:

Click Submit for Validation.

After submission, all fields become non-editable. A Temporary ID is generated for tracking. Track your application status through the eGCA portal dashboard.

Step 7: Respond to Shortfalls (If Any)

If DGCA identifies a discrepancy, a Shortfall notice is issued to your registered email and mobile. Once the shortfall is raised, your application unlocks for editing. Navigate to the License Details section, make the corrections specified in the shortfall, and resubmit.

Most frequent ATPL renewal shortfall causes in 2026:

  • Logbook time mismatch (Block Time vs. Flight Time discrepancy in eGCA)

  • IR renewal date not updated before submission

  • Incomplete license upload (missing endorsement or type rating pages)

  • Class 1 Medical expiry not updated

  • Expired FRTOL / RTR(A) not flagged before submission

Step 8: Receive Your EPL

From 2nd June 2025, ATPL renewal is included under the Electronic Personnel License (EPL) framework. Once approved, your ATPL is issued as a digital EPL accessible via the DGCA-authorised application. The EPL is aligned with ICAO Doc 9379 standards.

IR Revalidation for ATPL Holders

The IR endorsed on your ATPL must be revalidated before your renewal application. The process under Schedule II, Section O of the Aircraft Rules:

  • Complete mandatory recency flying as specified (minimum hours within the preceding period)

  • Undergo an IR renewal test (GFT) at a DGCA-approved Flying Training Institute in India

  • The test must be conducted by a DGCA-approved examiner who did not conduct your training

Once completed, update the IR Latest Renewal Date in the eGCA portal under Aircraft Endorsement and Rating Details.

Simulator-based IR revalidation: DGCA permits IR renewal tests on simulators of aircraft with AUW above 5,700 kg outside India when such facilities are not available in India. Written DGCA permission is required. For most airline pilots in India, revalidation on airline-approved simulators at an IATA IOSA-compliant training centre is the standard route.

Class 1 Medical Renewal for ATPL Holders

A current Class 1 Medical is mandatory for ATPL renewal. The eGCA Auto-Profile Update system introduced in 2026 will temporarily freeze ATPL eligibility if the medical record in your eGCA profile is expired.

Renew your medical through eGCA well before expiry:

  1. Log in and navigate to the Medical Section

  2. Apply for NOC

  3. Book appointment at a DGCA-approved examiner (for renewal)

  4. Attend examination; examiner uploads results to eGCA

  5. Await DGCA processing (typically 10 to 15 working days)

Best practice: Book your Class 1 renewal 45 to 60 days before expiry to account for processing time and any additional tests.

Fees for ATPL Renewal

Fees are prescribed under Rule 48(1) of the Aircraft Rules and are payable through the eGCA portal. Endorsement renewal fees apply per aircraft type. Always verify the current DGCA fee schedule at the time of application, as these are subject to revision.

If documents are returned due to a shortfall, fees paid can be adjusted against the subsequent resubmission.

What Happens If Your ATPL Expires?

An expired ATPL must be renewed under Rule 42 of the Aircraft Rules and CAR Section 7, Series H, Part I. This involves additional steps beyond the standard renewal process and may require refresher training, simulator sessions, and further DGCA evaluation. The process is significantly more involved and time-consuming than a standard renewal. Do not let your ATPL lapse.

How Wingman Helps With ATPL Renewal

The 2026 Auto-Profile Update system has made accurate eGCA logbook data more critical than ever. Wingman Pilot Logbook supports direct eGCA upload, flexible CA-39 and experience report downloads, and automatic roster import from all major Indian carriers.

Download a CA-39 or Experience Report for Any Date Range

The CA-39 is the DGCA experience report required for ATPL renewal. It must detail your flying hours by year, month, and aircraft type. DGCA may ask for a specific period, such as the preceding 12 months, the last 5 years, or your full career total depending on the endorsement or renewal being processed.

Wingman lets you generate a CA-39 or any experience report for any custom date range you choose. Pick your start and end dates, select the summary type, and download the PDF. There is no waiting and no manual calculation.

How to download a CA-39 or experience report in Wingman:

  • Open the app and go to Reports

  • Switch to the Summaries tab

  • Set your start and end dates (any range, from a single month to your full career)

  • Choose summary type: Yearly, Monthly, or Aircraft-wise

  • Tap Get Report and download the PDF immediately

Wingman supports direct bulk upload to the eGCA eLogbook. This is the same data DGCA reads when processing your renewal and running Auto-Profile Update checks. After logging flights in Wingman (manually or via auto-roster import), uploading to eGCA takes a single action. The app maps all fields automatically to the eGCA format.

For ATPL holders managing thousands of hours across multiple aircraft types and several years of eGCA entries, this is the difference between an afternoon of data entry and two minutes.

Bulk Upload of Historical Logbook Data

If your historical flights are in a paper logbook, Excel file, LogTen Pro, MCC Pilot Log, eCrew export, or any other format, the Wingman team migrates your data manually. Every hour, including carry-forward totals, type-specific hours, PIC, Co-Pilot, SIC, Night, Instrument, and simulator entries, is transferred accurately.

This is particularly important for pilots approaching ATPL renewal for the first time, or for those who have a mixed history of paper and digital logs.

Auto Roster Import from Indian Airlines

Wingman auto-imports flights from AIMS eCrew, ARMS, CAE Crew Access, NavBlue RAIDO, CESAR, Sabre, and Netline, covering IndiGo, Air India, Air India Express, SpiceJet, Star Air, and 80+ airlines worldwide. Every flight is logged with accurate block time, aircraft registration, and automatic day or night hour calculation using almanac data.

With auto roster import, your eGCA logbook is always current, not just at renewal time.

Expiry Notifications

Wingman tracks your ATPL validity, IR renewal date, Class 1 Medical expiry, and FRTOL expiry. Notifications are sent in advance so you have time to schedule your GFT, book your medical, and initiate the eGCA renewal process before any rating lapses.

Frequently Asked Questions

How is ATPL renewal different from CPL renewal?

The process on eGCA is structurally similar. The key difference is that ATPL holders do not need to separately update CPL or FRTOL-R details. The ATPL is the superior license, and DGCA does not require submission of lower-category license details for ATPL holders. ATPL renewal also intersects with the 2026 Auto-Profile Update system, which makes eGCA data accuracy more critical.

What is the Auto-Profile Update system and how does it affect me?

Introduced in February 2026, this system automatically processes ATPL eligibility and profile updates once the eGCA system detects qualifying hours and exam results. It benefits pilots with accurate, up-to-date eGCA logbooks and delays those with data mismatches. Wingman's direct eGCA upload ensures your logbook data is always current.

Can I fly as PIC while my ATPL renewal is being processed?

Only if your current ATPL has not expired. Apply for renewal well before expiry so there is no gap. If your ATPL expires during processing, you cannot exercise PIC privileges until the renewal is issued.

My eGCA logbook data does not match my physical logbook. What do I do?

Resolve the discrepancy before applying for renewal. A mismatch triggers a shortfall automatically in the 2026 system. Wingman can help with a bulk data review and correction. Contact the Wingman support team for assisted migration.

Do I need separate renewal for each aircraft type on my ATPL?

Each aircraft type endorsement has its own IR validity. Ensure every endorsed type's IR is current before submitting your ATPL renewal.

What is the CA-39 and is it mandatory for ATPL renewal?

The CA-39 is the DGCA-prescribed experience report summarising your flying hours. It is required for ATPL renewal. In Wingman, you set any date range and download the PDF instantly, covering exactly the period DGCA requires.

How long does ATPL renewal processing take?

Typically 4 to 8 weeks for complete, accurate applications. Applications with shortfalls take longer. Applying 60 to 90 days before expiry is strongly recommended.
