Step 1: Log In to the eGCA Portal

Go to the official DGCA eGCA portal:

Click eGCA Login and enter your registered eGCA ID and password. As of July 2025, the portal uses Multi-Factor Authentication (MFA). You will receive OTPs on both your registered mobile number and email address. Enter both to proceed.

Important: Always access eGCA only through the official DGCA website. Avoid third-party portals or links shared via WhatsApp or social media.

Step 2: Navigate to the License Section

After logging in, go to your Pilot Profile Dashboard. From the menu, select:

License Details > CPL > Apply for Renewal

This will display your current license record with all endorsements including aircraft types, IR status, ELP, and FRTOL.


Step 3: Verify and Update Your License Details

Before submitting for renewal, the portal requires that your license details are current and validated. Review the following sections carefully:

Aircraft Endorsement and Rating Details

  • Confirm that all aircraft types endorsed on your CPL are listed correctly

  • For each aircraft, the system displays: Initial Issuance Date, Latest Renewal Date, IR Initial Issuance Date, IR Latest Renewal Date, IR Latest Validity

  • Aircraft class is auto-filled by the system for most types; select "Others" only if the aircraft is not listed


IR (Instrument Rating) Details

  • Confirm the Initial IR Issuance Date and Latest Renewal Date are correctly entered

  • If you have recently renewed your IR, update this date before proceeding

  • Only update ELP details if ELP has been endorsed on your license by DGCA

Key rule from the eGCA user manual: All fields become non-editable once submitted to DGCA for validation. If you need to make changes after submission, you must wait for DGCA to either approve the update or return it as a shortfall.

Click Upload Documents within the License Records section. The eGCA portal requires you to attach:

  • Full copy of your current CPL (not just the front page; copies of licenses will not be accepted)

  • IR test report (GFT)

From the eGCA user manual: Attachments that contain only photocopies of licenses will not be accepted. Upload the original scanned document. AFIR, FIR, and Open Rating documents (if applicable) must be uploaded along with the complete license copy.

Step 5: Click "Save and Update Details"

After updating all license details and uploading documents, click Save and Update Details. This saves your changes but does not submit the application to DGCA yet.

Step 6: Submit for Validation

Once all details are correct and all documents are uploaded, click Submit for Validation. This sends your renewal application to DGCA for review.

After submission:

  • All fields become non-editable

  • Your application enters the DGCA validation queue

  • A Temporary ID is generated for tracking

Note for ATPL holders: If you hold an ATPL, you do not need to update CPL details separately. ATPL holders are not required to fill in details of licenses deposited to DGCA.

Step 7: Track Your Application and Respond to Shortfalls

Log back into the eGCA portal periodically to check your application status.

If DGCA identifies any discrepancy or missing document, a Shortfall notice is sent to your registered contact. Once a shortfall is raised, your submitted details are unlocked for editing. Go to the License Details section, make the corrections as directed, and resubmit.

Common reasons for shortfall notices:

  • Mismatch between logbook totals and eGCA uploaded data

  • Incomplete license copy (missing endorsement pages)

Step 8: Electronic Personnel License (EPL) Issuance

From 2nd June 2025 onwards, DGCA has included CPL renewal under the Electronic Personnel License (EPL) framework. Once your renewal is approved, your CPL is issued as an EPL, which is a digital license stored securely and accessible via a DGCA-authorised application.
